Do I have to sign a long-term contract?
No. HHub is month-to-month — no annual contracts, no multi-year lock-in. We believe the product should earn your business every month, not hold it hostage. Why we don’t do contracts: If HHub isn’t moving the needle for your practice in the first 90 days, we’d rather you leave than stay trapped. Our renewal rate is our real accountability metric.
What's the cancellation policy?
Cancel any time with 30 days’ written notice. No cancellation fee. No exit penalty. No “gotcha” clause buried in the terms. If you’re within the first 90 days and HHub isn’t earning its keep, reach out to your success manager first — we’ll work with you before you decide to leave.
Does the price change based on call or text volume?
Not by volume — by number of locations. A single-location practice pays a different rate than a 10-location DSO, but a single location’s bill doesn’t spike because you had a busy month. This keeps your HHub cost predictable, regardless of lead volume, call traffic, or seasonal swings. No surprise overage fees. Multi-location? Volume discounts kick in automatically as you scale. Implementation & Integrations
How long does it take to get up and running?
Most single-location practices are live within 14 days. Week 1 is setup: we handle configuration, phone and text routing, and integration with your existing tools. Week 2 is staff training, testing, and going live. Multi-location rollouts take longer — typically 3–6 weeks, depending on the number of locations and the complexity of your call routing.
How much work does my team have to do during onboarding?
Minimal. About 2–3 hours of your team’s time, total, across the two-week onboarding.
Our team handles the configuration, integration, and routing — the heavy lifting. Your team’s involvement breaks down as:
• 30-minute kickoff call — we align on goals and gather practice details
• 60-minute configuration review — you confirm settings, routing, and scripts
• 60-minute staff training — we train your front desk and treatment coordinators
No IT or technical staff required on your end.
Does HHub integrate with my practice management software?
HHub currently integrates directly with Ortho2 and Cloud 9. Deeper integrations with Dolphin, WaveOrtho, and others are actively on our roadmap. For any PMS we don’t integrate with yet, HHub works as a standalone patient communication layer — the two systems run alongside each other, and your team still gets the full benefit of HHub’s unified inbox, lead scoring, and missed-call recovery. Do you provide training for our staff?
Yes — included in every plan, no extra cost.
Onboarding includes a live training session with your team on the full platform. After you go live, your dedicated success manager is available for:
• Refresher sessions whenever you need them
• New-hire training when you bring someone new onto the team
• Advanced feature walkthroughs as HHub rolls out new capabilities
We track what works for practices like yours and proactively share tips — not just respond to tickets.
What happens to our data if we cancel?
Your data is yours. We never hold it hostage. On cancellation, you get a 30-day export window. Export your full patient interaction history, call logs, lead records, and notes in standard CSV format — no special tools required. After the 30-day window, we permanently delete your data from our systems and confirm the deletion in writing.
